Bchex sought an application integration with Teamtailor, a leading recruitment portal, to streamline the background check process of candidates. The application needed to seamlessly send candidate information to Bchex for background verification and update the report information back into Teamtailor’s candidate job profile. The application needed to be built in a way so that the hiring company has the flexibility to trigger the background check process at any stage of the job application, such as the inbox, review, shortlist, or interview stages.

This case study examines the collaboration between Bchex and Codaemon to develop an automated background check application. The application operates autonomously without human intervention until the decision-making stage based on the generated report.

Challenge

Bchex faced a challenge with manual verification processes for clients using Teamtailor as a recruitment portal. To address this challenge, a connector/application was needed to automate the processing of candidate data for verification, eliminating the need for manual sending and receiving between Teamtailor and Bchex's applicant tracking system.

Solution

After conducting feasibility tests and requirement analysis, Codaemon developed an application/connector. This connector tool will retrieve candidate data from the Teamtailor portal, process it within the Bchex applicant tracking system, and upon completion, send reports back to the Teamtailor portal. By implementing automated processes, both Bchex and its clients will save significant hours maintaining data privacy.

Outcome

An intuitive and resilient application is presently featured on the Teamtailor marketplace. It operates seamlessly with triggers within the Teamtailor portal, allowing users to integrate it effortlessly. Portal administrators have the flexibility to assign triggers to any available stage and manually initiate the transfer of candidate data for background checks. As a result, clients of Bchex who utilize the Teamtailor portal experience substantial reductions in manual effort, with the entire process now automated while maintaining data privacy.

Discovery Stage & Custom Application Development

We initiated contact with the Teamtailor support team, who offered guidelines outlining the application's framework. While the insights provided were helpful, navigating areas beyond our control, such as inaccessible system coding, posed challenges. However, our discovery team was quick to transform uncertainties into clear directives, producing a comprehensive research document.

Based on the findings, the Bchex Teamtailor application was created from scratch leveraging various APIs and webhooks to complete the integration. To ensure all the functionalities work seamlessly, we created a middleware incorporating a custom framework tailored to meet specific needs. This involved implementing methods such as data validation, data security, database management, error handling, API calls, webhooks integration, etc.

A Few Key Features of the Application

Simplified Registration Process:

Effective partner engagement is pivotal for the success of any application. The first step to achieve this is by simplifying the registration process for integration with the application. So we minimized the form fields. Now Teamtailor users simply need a Bchex account. And Bchex will furnish the API key along with the registered email for streamlined access.

Seamless Verification of Applicant Background:

Admin users only need to set triggers at designated stages and select preferred packages initially. From there, triggers execute automatically, communicating with middleware, which in turn communicates with Bchex ATS. Once the report is ready, status updates and report information are automatically updated in Teamtailor, eliminating the need for human involvement.

Data Validation:

In the event of missing mandatory data, such as date of birth or state/zip code information, the system performs data validation. Prospective applicants are prompted to fill in any missing data before automated verification begins.

Integration with Bchex Proprietary Microservice Applications

In an innovative move to enhance our TeamTailor integration, Codaemon leveraged the cutting-edge capabilities of Bchex Applicant Express technology. This integration allows for a seamless and efficient outreach to applicants, utilizing both email and text messaging platforms to gather essential information promptly. Moreover, Codaemon incorporated Bchex's proprietary Driver Licensing scanning technology into the process. This technology is designed to accurately collect data from government-issued IDs, thereby significantly enhancing the quality and speed of background checks.
